Job Title: Guest Services Weekend Coordinator – Part Time

Shift:  3:00pm – 11:00pm, every other weekend, (additional hours are available)

Organization: Ronald McDonald House Charities of Charleston

Reports to: Guest Services Manager

Position Summary: The Guest Services Weekend Coordinator is responsible for guest relations and daily operations of the Ronald McDonald House.  This role demands flexibility.  He/she is responsible for implementing the mission of the Ronald McDonald House under the direction of the Director of Operations.   Responsibilities will vary and include, but not be limited to, the following:

Essential Qualifications

  1. Upholding RMHC values and vision by providing guest relations/hospitality and an atmosphere of warmth to families of pediatric patients and ensuring a compassionate culture.
  2. The ideal candidate holds a college degree or currently enrolled in the area of Human Relations or Hospitality
  3. Candidates are expected to have excellent skills in organization, planning, time management, decision making and problem solving.
  4. The Guest Services Weekend Coordinator must be dependable, trustworthy and conduct him/herself at all times in a manner that reflects positively to this organization. He/she must be an effective team leader as well as team member.
  5. Representing RMHC to the community as needed through interaction with volunteers, donors, and hospital staff. Maintaining a consistent line of communication to ensure continuity of services.  Ability to clearly relay our daily needs, rules, eligibility requirements and general information about the organization.
  6. Addressing guest issues as they arise and being able to discuss and resolve them with families or calmly asking and handling families to leave who cannot abide by the Code of Conduct.
  7. Daily recording accurate documentation and data input and cleansing of daily waitlists, guest lists, occupancy report, and communication logs. Oversees referrals, room assignments, check in and check out procedures.
  8. Willingness to take on additional responsibilities as assigned or in the event that coverage is not available within the Guest Services Department.
  9. Providing on-call support on a rotating schedule and may include coverage other shifts if employees calls out sick.
  10. Supervises housekeeping staff assessing needs that may arise throughout scheduled shifts or during time on call.
  11. Manages operations of the Guest Services Office, including check-ins, check-outs, waitlist requests, processes required miscellaneous forms, and payment processing. volunteer assignments, and phone calls to social workers.
  12. Coordinates maintenance and repair lists throughout the house as needed, updating the maintenance log, and communicating unsafe circumstances in a timely manner to ensure guest safety.
  13. RMHC is open 365 days a year, which includes working with Guest Services Department to rotate and cover shifts on holidays.
  14. Bilingual capability (English/Spanish) is advantageous, but not required.

Specific Skills

  1. Excellent communication skills to properly engage with families in stressful situations and medical crisis.
  2. Ability to communicate effectively in writing.
  3. Proficient in Microsoft Applications.
  4. Data processing and management
  5. Willingness to assist Housekeeping in room cleaning and turnaround, as required in order, to help maintain occupancy levels
  6. Assist with setting up and facilitating family meals, if required.
  7. Ability to remain organized and multi-task.
  8. Motivating/encouraging to guests, team members and volunteers
  9. Willingness to do administrative, data project work in quiet periods
  10. Flexible to offer coverage of different shift hours.
  11. He/she must be a professional and effective team leader as well as team member to co-workers, families, volunteers, donors, board members, etc.

PHYSICAL DEMANDS

  1. Sits at desk 20-30% of the day. Significant physical activity at other times.
  2. Near visual acuity essential for reading.
  3. Hearing and speaking essential for communication.
  4. Able to lift and transport up to 35 pounds.
  5. Physically able to climb stairs and perform small maintenance tasks as needed.

REPORTING RESPONSBILITY

The Guest Services Weekend Coordinator is directly responsible to a Guest Service Manager.

This is a part time hourly non-exempt position.  Shift needed coverage is Saturday and Sunday – 3:00 p.m. – 11:00 p.m., every other weekend.   No Health Benefit eligibility with this role.
